Refund, Cancellation & Payment Policy
Effective Date: October 07, 2024
Last Updated: January 23,, 2026
Overview
Clendenin MD provides professional medical consultation and treatment services (“Clinical Services”) through telemedicine. We do not operate an online store and we do not sell, dispense, or ship medications, supplements, devices, or other retail products through this website.
Any medications, laboratory testing, imaging, or third-party goods/services that may be discussed during care are obtained separately by the patient from appropriately licensed third-party providers (such as pharmacies or laboratories). Those third parties set their own pricing and policies, including shipping, returns, and refunds.
1) What your payment covers
Payments made through Clendenin MD (or through our authorized payment links) are for Clinical Services, which may include:
Telemedicine consultation and medical evaluation
Medical decision-making and clinical documentation
Reasonable care coordination and administrative support directly related to your appointment
Your payment reserves clinician time and your appointment slot.
Payment does not guarantee any specific diagnosis, prescription, test, treatment plan, or outcome. All care decisions are made by the clinician based on medical appropriateness and applicable standards of care.
2) Appointment fees are generally non-refundable once paid
Because appointment slots reserve clinician time, appointment fees are generally non-refundable once payment is processed. The service is considered reserved upon payment because clinician time is allocated for your scheduled visit.
3) No-shows and late cancellations
Because appointment slots reserve clinician time, appointment fees are generally non-refundable once payment is processed. The service is considered reserved upon payment because clinician time is allocated for your scheduled visit.
The following are non-refundable:
No-shows (missed appointments), including failure to join the telemedicine visit at the scheduled time
Late cancellations
Late cancellation means cancelling within [same day] of the scheduled start time.
If you are running late, notify us as soon as possible. We will make reasonable efforts to accommodate you, but we may need to reschedule if the clinician cannot safely complete the visit within the remaining time.
4) When refunds may be considered (limited circumstances)
Refunds are considered only in limited circumstances, such as:
The practice is unable to provide the scheduled appointment and rescheduling is not feasible within a reasonable timeframe; or
There is a duplicate charge or clear billing error.
When appropriate, we may offer rescheduling or a credit instead of a refund. If a refund is granted, it will be issued to the original payment method. Timing depends on the payment processor and your bank.
5) Rescheduling and cancellations (how to contact us)
To cancel or reschedule, contact us as soon as possible at:
Email: staff@clendeninmd.com
Phone/Text: (737) 252-4392
If you do not receive a response right away, please leave one message and allow time for processing during business hours.
6) Billing questions
If you have a billing concern, please contact us promptly so we can review and resolve it. We maintain documentation related to scheduling, attendance, and services provided.
7) Chargebacks and disputed charges
If you believe a charge is incorrect, please contact us first so we can review and resolve the issue. We can provide supporting documentation related to appointment scheduling, attendance, and services provided. Nothing in this policy limits any rights you may have under applicable law or payment card network rules.
8) Third-party items (pharmacy/labs)
Clendenin MD does not control third-party pharmacy or laboratory pricing, inventory, shipping, or returns. Any refund/replacement request for medications, lab kits, shipping issues, or lab services must be handled directly with the dispensing pharmacy or laboratory under their policies and applicable law.
9) Medical emergencies
Clendenin MD is not an emergency service. If you are experiencing a medical emergency, call 911 or go to the nearest emergency department.
10) Policy updates
We may update this policy periodically. The Effective Date/Last Updated date above indicates when changes apply.
